Colligence Research Private Limited ("Colligence," "we," "us," or "our") is a technology company dedicated to delivering exceptional virtual communication platforms that leverage state-of-the-art technologies. We are incorporated under the laws of India (CIN: U62013KA2023PTC175052) with our office at Buzzworks at Skybridge, Brigade Gateway Campus, 26/1 Dr. Rajkumar Road, Rajajinagar, Bengaluru, Karnataka - 560055, India.
This Privacy Policy describes how we collect, use, store, share, and protect your personal information when you use our products and services, including the Circle application ("Circle" or the "App") and any related services (collectively, the "Services").
By accessing or using our Services, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree, please do not use our Services.
2. Information We Collect
We collect the following categories of information:
2.1 Information You Provide Directly
Account Information: Your name and email address, which are required to create and manage your account.
Profile Information: Profile display name and optional profile photo (avatar) that you choose to upload.
Contacts and Circles: Contact lists and groups that you create and manage within the App.
Chat and Conversation Data: Messages you send through the App, including interactions with our AI assistant, Maada.
Workspace Locations: Office locations you configure, including address and WiFi network identifiers used for office detection.
Feedback and Communications: Any bug reports, feedback, or support requests you submit to us.
2.2 Information Collected Automatically
Location Data: With your permission, we collect precise location data (GPS coordinates) or approximate location data (city-level), depending on your chosen privacy setting. Background location is collected only with your explicit opt-in consent and is used for office detection and contact visibility features. Location data is collected at intervals of approximately every 5 minutes or 500 meters of movement.
Presence and Activity Status: Your online/offline, busy, or do-not-disturb status, which is shared with your contacts to enable real-time visibility.
Device Information: Device identifiers (such as iOS Identifier for Vendor, macOS System GUID, or Android device ID), device model name, operating system type, and app version. This is used for multi-device support and push notification delivery.
Push Notification Tokens: Firebase Cloud Messaging (FCM) tokens assigned to your device, used to deliver push notifications.
Call History: Records of screenshare and communication sessions (metadata only, such as participants, timestamps, and duration).
Authentication Tokens: JSON Web Tokens (JWT) issued by our authentication provider for session management.
Crash and Performance Data: On Android devices, crash logs and performance diagnostics are collected via Firebase Crashlytics to help us identify and fix issues. This data is not linked to your identity.
User Preferences: Your privacy settings, including location precision preference (precise, approximate, or hidden) and status visibility preference (everyone, contacts only, or nobody).
2.3 Audio and Video Data
When you use screenshare or voice communication features, audio and video streams are transmitted in real time through our WebRTC infrastructure (powered by LiveKit). These streams are ephemeral and are not recorded or stored by us.

4. Legal Basis for Processing
We process your personal data based on the following legal grounds:
Consent: For location data collection (including background location), push notifications, and optional profile information. You may withdraw consent at any time through your device or app settings.
Contractual Necessity: For account creation, authentication, providing core app functionality (contacts, circles, chat, presence), and delivering the Services you have requested.
Legitimate Interest: For improving our Services, ensuring security, preventing fraud, and analyzing crash and performance data. We balance our interests against your rights and freedoms.
Legal Obligation: For compliance with applicable laws, regulations, and legal processes.
5. How We Share Your Information
We do not sell your personal information to third parties. We do not use your data for advertising purposes.
We share your information only in the following circumstances:
5.1 With Your Contacts
Your name, profile photo, presence status, and location (based on your privacy settings) are shared with contacts you have added in the App. You control what is shared through your privacy settings.
5.2 With Service Providers

Colligence is based in India. Your personal data may be transferred to and processed in countries other than your own, including the United States and Singapore, where our service providers operate.
When we transfer data internationally, we ensure appropriate safeguards are in place, including standard contractual clauses and compliance with applicable data protection laws.

We retain your personal data for as long as your account is active or as needed to provide you the Services:

Upon account deletion, all associated data is permanently and immediately deleted from our systems through an atomic database transaction. This includes contacts, messages, circles, call history, location history, presence data, and your user profile.
8. Data Security
We implement appropriate technical and organizational measures to protect your personal information:
Encryption in Transit: All data is transmitted using HTTPS with TLS 1.2 or higher.
Authentication: Secure JWT-based authentication through Supabase.
Secure Local Storage: Sensitive data (tokens, credentials) is stored using platform-native secure storage (FlutterSecureStorage / Keychain / KeyStore).
Database Security: Row-Level Security (RLS) policies enforce data isolation, ensuring users can only access their own data.
Multi-Tenant Isolation: Data is segregated by account ID at the database level.
No Data Selling: We do not sell, rent, or trade your personal information.
While we strive to protect your data, no method of transmission or storage is completely secure. We cannot guarantee absolute security.
9. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
9.1 General Rights (All Users)
Access: Request a copy of the personal data we hold about you.
Correction: Request correction of inaccurate or incomplete data.
Deletion: Delete your account and all associated data through Settings > Privacy > Delete my account in the App, or by contacting us.
Data Portability: Request a copy of your data in a portable format.
9.2 European Economic Area (GDPR)
If you are located in the EEA, you have additional rights under the General Data Protection Regulation:
Right to restrict processing of your personal data.
Right to object to processing based on legitimate interests.
Right to withdraw consent at any time without affecting the lawfulness of prior processing.

10. Children's Privacy
Our Services are not directed to individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal data from a child under 16, we will take steps to delete that information promptly. 11. Local Storage and Cookies
The Circle application uses the following local storage mechanisms on your device:
SharedPreferences / UserDefaults: To store your app preferences and settings (such as theme, notification preferences, and privacy settings).
FlutterSecureStorage / Keychain / KeyStore: To securely store authentication tokens and sensitive credentials.
Local Database Cache: To enable offline functionality and faster data loading.
We do not use browser cookies as Circle is a native application. We do not use any tracking technologies or advertising identifiers.
12. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the App or by other appropriate means at least 30 days before the changes take effect.
The "Last Updated" date at the top of this policy indicates when it was most recently revised. Your continued use of the Services after any changes constitutes your acceptance of the updated Privacy Policy.
